Privacy Policy
Polaris Office Corp. (hereinafter the “Company”) always makes its best efforts to protect the personal information of its users. This Privacy Policy describes what personal information is processed and how it is processed in connection with the Polaris AI Office for BlackBerry mobile apps (hereinafter the “Products”).
The Products are enterprise applications made available exclusively to authorized users of customer organizations that have contracted with BlackBerry for enterprise services. They are not offered directly to individual consumers and are not intended for use by children.
1. Information We Process
We process the following categories of information in connection with the Products.
BlackBerry Dynamics activation and management data:
- Email address (User ID)
- Access key
- Device ID
The email address may be used as the User ID for BlackBerry Dynamics activation and management. The Device ID and other BlackBerry Dynamics management data are processed through the BlackBerry Dynamics SDK, BlackBerry infrastructure, and the customer’s BlackBerry UEM environment. We do not directly collect, access, or store such information on our own servers.
Conditional BlackBerry diagnostic and analytics data:
- Crash data
- Other diagnostic or analytics data
We do not use our own advertising SDK, analytics SDK, or crash reporting SDK in the Products. However, the BlackBerry Dynamics SDK may include crash reporting and analytics functions. These functions are activated only if the customer separately purchases and enables the relevant BlackBerry Analytics entitlement in BlackBerry UEM.
ASK-Docs AI feature data:
- Document contents
- Conversations with the AI service about the document
- AI service API key configured or entered by the user or the user’s organization, as applicable
ASK-Docs is optional and is used only when the user consents to use the feature.
2. Purposes and Legal Bases
We process personal data only as necessary for the following purposes and, where applicable, on the following legal bases:
Contractual necessity:
- App activation and authentication
- Secure use of the Products through BlackBerry Dynamics
- AI-assisted features requested by the user
Legitimate interests:
- App security
- Service stability and diagnostics
- Prevention of unauthorized access
- Enterprise app management and troubleshooting
Consent:
- Use of the optional ASK-Docs AI feature
- Optional BlackBerry diagnostic or analytics functions enabled by the customer, where consent or authorization is required
Legal obligation:
- Compliance with applicable laws, regulations, legal processes, and security obligations
3. BlackBerry Dynamics Processing
The Products use the BlackBerry Dynamics SDK for app activation, security, and enterprise management. During activation, an enterprise user may be asked to enter an email address and an access key provided by the customer’s IT administrator. The activation process is handled through BlackBerry infrastructure.
The customer may manage user accounts, devices, app activation, security policies, and related settings through BlackBerry UEM. We do not operate or manage the customer’s BlackBerry UEM environment and do not access, receive, store, or control the data processed through that environment, including User ID, access key, Device ID, activation logs, provisioning data, crash data, diagnostic data, analytics data, or device/app management information.
4. ASK-Docs AI Feature
ASK-Docs is an optional AI feature. It is not activated unless the user consents to use the feature. ASK-Docs uses a bring-your-own-key model. The user or the user’s organization connects its own AI service API key. When ASK-Docs is used, document contents and conversations with the AI service are transmitted directly to the AI service provider using the AI service API key of the user or the user’s organization.
Our servers do not receive, relay, store, or log:
- Document contents transmitted through ASK-Docs
- Conversations with the AI service
- AI service API keys
During use of ASK-Docs, conversations with the AI service may be temporarily stored in the device’s volatile memory and are deleted immediately when the relevant document is closed.
The AI service provider may temporarily retain information submitted to it in accordance with its own policies and the agreement between the user or the user’s organization and the AI service provider, including for abuse monitoring or security purposes. Retention and other processing by the AI service provider may vary depending on the provider’s policies and the applicable contractual terms, including whether special data retention terms such as Zero Data Retention apply.
We do not use document contents or ASK-Docs conversations to train our own AI models.
5. Data Retention
We do not store personal data processed through the Products on our own servers.
BlackBerry Dynamics activation, management, diagnostic, and analytics data is processed through BlackBerry infrastructure and the customer’s BlackBerry UEM environment. Its retention is governed by the customer’s BlackBerry configuration and applicable agreements with BlackBerry.
Document contents and AI conversations processed through ASK-Docs are not stored by us. AI conversations may be temporarily stored in the device’s volatile memory during use and are deleted immediately when the relevant document is closed. Any retention by the AI service provider is governed by the provider’s own policies and the agreement between the user or the user’s organization and the provider.
6. International Data Transfers
Personal data may be transferred to and processed in countries other than the country where the user is located, depending on the technical infrastructure and operational environment of the services. We do not directly initiate or control these international transfers. Where required by applicable law, appropriate safeguards will be applied.
7. Third-Party Sharing & Service Providers
We do not sell personal data.
BlackBerry:
Certain information is processed through the BlackBerry Dynamics SDK, BlackBerry infrastructure, and the customer’s BlackBerry UEM environment for app activation, security, enterprise management, diagnostics, and analytics purposes. We do not access or store the information processed in that environment.
AI service provider:
When the user consents to and uses ASK-Docs, document contents and AI conversations are transmitted directly to the AI service provider using the AI service API key of the user or the user’s organization. This processing takes place under the agreement between the user or the user’s organization and the AI service provider, not on our behalf.
8. ASK-Docs Consent and Withdrawal
The user may withdraw consent to use ASK-Docs through the settings menu. If consent is withdrawn, ASK-Docs will no longer be available unless the user provides consent again. Where applicable, the AI service API key for ASK-Docs is stored securely on the user’s device and may be deleted by the user at any time via the Products’ settings menu. Withdrawing consent disables the ASK-Docs feature but does not automatically delete the stored key.
9. Sensitive Data
The Products do not require users to provide sensitive personal data, such as health information, biometric data, racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, government identification numbers, precise geolocation data, financial account credentials, or information concerning sex life or sexual orientation.
However, because ASK-Docs allows users to process document contents selected by the user, such documents may contain sensitive personal data or confidential business information. Users should not use ASK-Docs for documents containing sensitive personal data or highly confidential information unless they are authorized by their organization and have an appropriate lawful basis.
When ASK-Docs is used, document contents and AI conversations are transmitted directly to the AI service provider using the AI service API key of the user or the user’s organization. The processing of such content by the AI service provider is governed by the provider’s policies and the agreement between the user or the user’s organization and the provider.
10. Your Rights (California Residents)
If you are a California resident, you may have certain rights under applicable California privacy laws, including the right to know, access, correct, and delete personal information, and the right not to be discriminated against for exercising your privacy rights. We do not sell personal information.
The categories of personal information that may be processed in connection with the Products include identifiers, such as email address (User ID), access key and Device ID; internet or electronic network activity information, such as activation, diagnostic, or analytics data where enabled by the customer; and any information voluntarily included in document contents or AI conversations when the user chooses to use ASK-Docs.
Because the Products are provided in an enterprise environment and managed through the customer’s BlackBerry UEM configuration, some requests may need to be directed to your organization or handled through your organization’s BlackBerry UEM administrator. 11. Your Rights (GDPR/UK GDPR)
If you are located in the EU/EEA or the United Kingdom, you may have certain rights under the GDPR or UK GDPR, including the right to request access, rectification, deletion, restriction of processing, data portability, and the right to object to certain processing. Where processing is based on consent, you may withdraw consent at any time.
Because the Products are provided in an enterprise environment and managed through the customer’s BlackBerry UEM configuration, some requests may need to be directed to your organization or handled through your organization’s BlackBerry UEM administrator. You may also have the right to lodge a complaint with your local data protection supervisory authority. To submit a privacy request, please contact us at support@polarisoffice.com.
12. Data Security
We apply appropriate technical and organizational measures designed to protect personal data processed through the Products. For ASK-Docs, document contents and AI conversations are transmitted directly to the AI service provider using the AI service API key of the user or the user’s organization, and we do not receive, relay, store, or log such data on our servers.
13. Children’s Privacy
The Products are intended for enterprise use and are not directed to children. We do not knowingly collect personal data from children through the Products.
14. Automated Decisions
We do not engage in automated decision-making or profiling through the Products that produces legal or similarly significant effects on users.

Miscellaneous Provision
The content of this Privacy Policy may vary by language because legal requirements differ by country. If there is any conflict between Privacy Policies in different languages, the policy in the language of the relevant country shall prevail, and if such a policy does not exist, the policy in English shall prevail.
